1. Our commitment
Patten Labs ("we", "us"), located in Ontario, Canada, respects your privacy. This Privacy Policy explains how we collect, use, and disclose personal information when you use CrewCard. We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian privacy law.
2. Information we collect
Account information: your name, email address, role (worker, crew lead, or admin), and optionally a PIN you set for quick access.
Time records: clock-in and clock-out times, break minutes, work tags and summaries you enter, the client, job, and crew associated with the shift, and any edits made by an administrator.
Location: if you grant permission, the device's GPS coordinates and accuracy at the moment you clock in and clock out. We do not track location continuously or while you are off the clock. If you deny permission, the entry records that location was unavailable.
Business data entered by account owners: client names, addresses, and contact details, jobs, schedules, and pay or billing settings.
Billing: subscription payments are processed by Stripe. We receive subscription status and identifiers from Stripe; we do not receive or store your full card number.
Support: suggestions or help questions you submit, and basic technical logs needed to operate and secure the service.
3. How we use information
We use personal information to operate CrewCard: keeping time records, showing you your hours, letting crews clock in together, letting owners manage clients, billing, and payroll, producing exports you request, powering the in-app help search, processing subscriptions through Stripe, and keeping the service secure.
We do not sell personal information, and we do not use it for advertising.
4. Consent
By using CrewCard you consent to the collection and use of information as described here. Location collection happens only with your device permission and only at clock-in and clock-out; you can withdraw that consent at any time by denying location permission in your device settings, and the app remains usable without it.
You can withdraw other consents or ask questions by contacting the privacy contact below, subject to legal or contractual restrictions and reasonable notice.
5. Who we share information with
We use a small number of service providers to run CrewCard: our hosting platform (which stores app data), Stripe (payment processing), an email delivery service (invitations and notifications), and an AI service provider that answers help questions using only the app's own manual. These providers process information on our behalf and are not permitted to use it for their own purposes.
Account owners (your employer) see the time and location records for their own crews — that is the purpose of the app. We may also disclose information where required by law.
6. How long we keep information
We keep time and account records while they are needed to provide the service and as long as reasonably required for legal purposes. Your employer may also have legal record-keeping obligations (for example under Ontario's Employment Standards Act, 2000) that govern how long time records must be kept; if you have questions about employer-held records, contact your employer.
7. Access, correction, and complaints
You may request access to the personal information we hold about you, ask for corrections, or raise concerns by contacting the privacy contact below. We will respond within a reasonable time. If you are not satisfied with our response, you may file a complaint with the Office of the Privacy Commissioner of Canada (priv.gc.ca).
8. Security
We use industry-standard safeguards — encrypted connections, access controls, and authenticated accounts — to protect personal information against loss, theft, and unauthorized access, use, or disclosure.
9. Changes to this policy
We may update this Privacy Policy as the service evolves. The current version is always available in the app. Significant changes will be communicated to account owners or posted in the app.
